UniPOS

Rental

The money in a hire business is in the return, not the hire.

Anyone can take a booking. UniPOS handles the part that actually costs you: what went out, when it is due back, what condition it returned in, and what happens to the deposit.

  • Hire agreements
  • Deposits held and settled
  • Late and damage fees
  • Condition on return

At the counter

Out, due, back, settled.

A hire desk runs on four questions. UniPOS answers all four on one screen.

  • Assets and availability

What you own, what is out, and what is free to hire today.

  • Rates by hour, day, week or month

The same asset priced by the period the customer actually wants it for.

  • Reserve, issue, return

A hire moves through reserved, on hire and returned — and the agreement carries that state rather than a note in a book.

  • Deposits held and settled

Taken at issue, and at return either refunded or forfeited against what is owed, with the arithmetic done for you.

  • Late and damage fees

Charged at return, on the agreement, alongside the deposit they come out of.

  • Condition recorded

New, good, fair, poor or damaged, recorded when it comes back so the argument happens once.

  • Balance due at return

Late fee, damage, deposit refunded or forfeited, and what the customer still owes — one figure, at the counter.

  • Sales alongside hires

Consumables, accessories and insurance sold on the same bill as the hire.

Who this is for

Hire desks UniPOS is shaped for.

Different assets, the same four questions.

Equipment and tool hire

Serialised assets, deposits that matter, and returns that need checking.

Camera and AV hire

High-value kit out for days at a time, with condition recorded at every return.

Vehicle and cycle hire

Hourly and daily rates, deposits, and a record of what came back in what state.

Event and party hire

Large multi-item hires going out and coming back together, counted both ways.

Furniture and appliance hire

Long hires billed monthly, with deposits held across the whole term.

Sports and adventure gear

Short hires, fast turnaround, and damage that has to be settled on the spot.

Questions

What rental businesses ask us.

Can I hire the same item to different customers on different days?

Yes. Availability is tracked per asset, and an agreement holds it for the period it is out.

How are deposits handled?

Taken when the item is issued and settled when it comes back — refunded, or forfeited against late and damage fees, with the balance due shown at the counter.

Can I charge by the hour and by the day?

Yes. An asset can carry hourly, daily, weekly and monthly rates, and the agreement uses the one the customer is hiring on.

Does it record what condition something came back in?

Yes — new, good, fair, poor or damaged, on the return, so the record exists before the disagreement does.

Can I sell things as well as hire them?

Yes. Consumables and accessories are ordinary catalogue items and go on the same bill as the hire.
